What you are doing now looks fine to me. VV is very strange, it really depends on when the mail is passed on, some celebs take it home to sign rather than during the tour/at the venue etc.
Patrick Stewart for example signed the odd one during the play which finished in March, with the majority coming through in the last 1-2 months, so he must have taken it home and have alot to get through because I still see recent successes.
When you send the letter is totally up to you, personally I send so it gets there during the run or if I can, in the first few days- i've not yet tried a one date venue.
I've had VV successes come back during a tour, just after the event or a few months after. I have even seen rare instances on here of VV coming back 1-2 years after it's been sent.
I know it's hard but be patient and something will (hopefully) come back soon.
Remember though it all depends on if the artist signs as well, what generally is the feedback about the people you have sent to? Always a useful guide but never a guarantee you'll get yours back. All celebs have different signing habits. Just because you sent direct to the celeb at the venue, rather than an agency, doesn't mean 100% you will get it back.
